Scheduled Tasks
Section titled “Scheduled Tasks”Scheduled Tasks let your computer learn to work “automatically and spontaneously.” Set up one-time or recurring tasks, and Owlfy will execute them at the specified time — even when you’re away from your desk.
Overview
Section titled “Overview”With Scheduled Tasks, you can:
- ⏰ Automate routine workflows — Set it once, run it forever
- 📅 Create recurring tasks — Hourly, daily, weekly, or custom schedules
- 🔔 Receive notifications — Get alerted when tasks complete or need attention
- 🛡️ Run safely — Tasks execute within your configured AI sandbox permissions
Creating a Scheduled Task
Section titled “Creating a Scheduled Task”Step 1: Define the Task
Section titled “Step 1: Define the Task”Describe what you want Owlfy to do. Be as specific as possible:
"Every morning at 9 AM, summarize my unread emails and create a to-do list"Step 2: Set the Schedule
Section titled “Step 2: Set the Schedule”Choose when and how often the task runs:

Step 3: Confirm and Save
Section titled “Step 3: Confirm and Save”Review the task description and schedule, then save. Owlfy will confirm when the task is active.
Example Scenarios
Section titled “Example Scenarios”Email Management
Section titled “Email Management”Task: Check and summarize important emails every hour
Schedule: Every 1 hour
What happens:
- Owlfy checks your email client or webmail
- Identifies important/unread emails
- Summarizes key points from each email
- Presents a digest for your review
Daily Shutdown
Section titled “Daily Shutdown”Task: Auto shutdown at 21:00 every day
Schedule: Daily at 21:00
What happens:
- At 21:00, Owlfy initiates system shutdown
- Optionally saves open documents or notifies you first
- Computer powers off automatically
Weekly Meeting Summary
Section titled “Weekly Meeting Summary”Task: Every Monday at 9:00 AM, summarize last week’s meeting notes and create this week’s to-do list
Schedule: Weekly on Monday at 9:00 AM
What happens:
- Scans designated folder for last week’s meeting notes
- Extracts key decisions and action items
- Generates a summary document
- Creates a new to-do list for the current week
File Organization
Section titled “File Organization”Task: Every Friday at 6 PM, organize the Downloads folder by file type
Schedule: Weekly on Friday at 18:00
What happens:
- Scans the Downloads folder
- Sorts files into subfolders by type (Documents, Images, Videos, etc.)
- Removes empty folders
- Generates an organization report
Backup Reminder
Section titled “Backup Reminder”Task: Every day at 5 PM, remind me to backup important files
Schedule: Daily at 17:00
What happens:
- Owlfy displays a notification
- Optionally opens your backup tool or cloud sync folder
- Tracks whether backup was completed
Managing Scheduled Tasks
Section titled “Managing Scheduled Tasks”View All Tasks
Section titled “View All Tasks”Access the Scheduled Tasks dashboard to see all active and completed tasks.
Edit a Task
Section titled “Edit a Task”- Find the task in the dashboard
- Click “Edit”
- Modify the description, schedule, or settings
- Save changes
Pause/Resume
Section titled “Pause/Resume”Temporarily disable a task without deleting it:
- Pause: Task will not run until resumed
- Resume: Task resumes its normal schedule
Delete a Task
Section titled “Delete a Task”Remove a task permanently from the schedule.
Task Execution Settings
Section titled “Task Execution Settings”Notification Preferences
Section titled “Notification Preferences”| Option | Description |

| Notify on start | Get a notification when a task begins |
| Notify on completion | Get a notification when a task finishes |
| Notify on error | Get a notification if a task fails |
| Silent mode | No notifications — tasks run in background |
Execution Permissions
Section titled “Execution Permissions”Scheduled tasks run within your AI Assistant sandbox permissions:
- Tasks can only access permitted folders
- High-risk operations require confirmation (if approval policy is enabled)
- Tasks respect your stamina limits
Best Practices
Section titled “Best Practices”Keep Tasks Specific
Section titled “Keep Tasks Specific”Vague tasks produce unpredictable results. Be specific:
- ✅ “Every morning at 8 AM, read news from techcrunch.com and summarize the top 3 stories”
- ❌ “Check news every day”
Test Before Scheduling
Section titled “Test Before Scheduling”Run the task manually first to ensure it produces the expected results.
Monitor Task History
Section titled “Monitor Task History”Review completed tasks periodically to ensure they’re running correctly and producing useful output.
Avoid Overlapping Tasks
Section titled “Avoid Overlapping Tasks”Don’t schedule multiple resource-intensive tasks at the same time.
